Hiring Circle Ltd is a company incorporated in England, registered company number 09309066, with registered address 7 Bell Yard, London, WC2A 2JR.

This platform www.hiring-circle.com (“the Platform”) is owned and managed by Richards Wallis Ltd.

For the purposes of data protection law, including the UK Data Protection Act 1998 (“DPA”) and the EU General Data Protection Regulation (EU) 2016/679 (“GDPR”), Hiring Circle Limited is a data controller and is registered with the Information Commissioner’s Office with notification number ZA220260.

This privacy policy applies to the personal information we collect from our Platform, or in any way that it is provided to us as part of our services.

References to “you” “your” or other similar terms are construed accordingly.

The terms “we”, “us”, or other similar terms used in this Privacy Policy shall mean Hiring Circle Ltd or any parent, subsidiaries, affiliates, officers, directors, agents and employees of Hiring Circle Ltd.

This policy should be read in conjunction with our Employer & Recruiter and Candidate Terms (“Terms”).

By accessing the website and/or submitting your personal information, you consent to the use of your information as set out in this Privacy Policy.

What information do we collect about you?

We may collect information about you directly by phone, e-mail, face-to-face meeting, through information available in the public domain (including for the avoidance of doubt social media platforms such as LinkedIn, Facebook and Twitter), from third parties or as we otherwise deem necessary.

When registering and applying for roles through the Platform you will be required to provide certain personal information – as identified at the time.  This will include, but not be limited to, your name, work status, employment history and contact details.

How we use your personal information

We will only process your information in the ways we describe in this Privacy Policy. If you think the information we hold about you is incorrect, you can contact us to correct it.

When you create an account and provide your personal information you consent to us processing your personal information (or personal data, as defined in the Data Protection Act 1998 and the General Data Protection Regulation 2016/679).

We may use your information to create an account, create alerts for jobs we believe may be suitable, assess your appropriateness for particular roles and provide the services of the Platform.

You agree that we may use your personal information to contact you via email, telephone, direct mail or other means of communication.

Until you apply for a specific role – we will not share your personal information with any Employer or Recruiter.  At that point we will provide the information as set out in our Terms.

We may contact you via email, phone and mail for the purposes envisaged by the Terms.  You can manage your preferences for direct marketing on the Platform when logged in, by using the link included in emails or by contacting us at hello@hiring-circle.com

We will not disclose your personal information except as provided for in this Privacy Policy and under the following limited circumstances:

  • as necessary to provide the services that you have requested.
  • when we believe the law requires it.
  • to third parties who perform functions on our behalf (including professional advisors, IT consultants, accountants and other service providers).
  • we may share, transfer or disclose the personal information in our databases and server logs in the event of our flotation on a stock exchange, sale, merger, reorganisation, dissolution, disposal of all or part of our assets or similar event. We will inform you of any such transfer or disclosure as required by law.

Where appropriate, before disclosing personal information to a third party, we will enter into an appropriate contract to require the third party to take adequate precautions to protect that information and to comply with applicable law.

Role of Employers & Recruiters

Upon applying for a role – your information will be passed to the Employer or Recruiter.

Organisations receiving personal data from us will also become Data Controllers and have their own obligations to protect personal data.  You should ensure that you agree to their privacy policies before applying for any role posted on the Platform.  If you unable to obtain their latest policy please contact hello@hiring-circle.com before applying and we will request the latest privacy policy from them.

We are not responsible for an Employer’s or Recruiter’s processing of such personal data.

How long do we keep your personal data for?

We will only retain your information for as long as necessary to fulfil the purposes for which we collected it, in accordance with your instructions or as may be required to satisfy any legal, accounting or reporting requirements. Your information will be deleted after five years of your last log-in.

What is the legal basis under the GDPR for our use of your data?

In accordance with GDPR the main grounds upon which we would expect to process your data are:

Consent – by using our Platform and agreeing to our Terms, including this Privacy Policy, you are consenting to our data processing.  You can remove this consent at any time;

Fulfilment of our contractual obligations to you. We would not expect to be able to fulfil our role set out in the Terms without processing your personal data;

Compliance with a legal obligation. We are subject to certain legal requirements which may require us to process your information. We may also be obliged by law to disclose your information to a regulatory body or law enforcement body;

Legitimate interests. We may need to process your information for the purposes of legitimate interests, provided that we have established that those interests are not overridden by your rights and freedoms.

Rights in relation to automated decision making and profiling.  Individuals have certain right around data being used for automated decision making – we do not undertake automated decision making.

Complaints

If you feel that we are not complying with the data protection regulations or have any concerns – in the first instance please contact us so that we can attempt to resolve the issue for you.  You have the right to make a complaint at any time to the Information Commissioner’s Office (ICO), the UK supervisory authority for data protection issues (www.ico.org.uk).

Security

We are based in the UK. All data we collect will be stored in the European Economic Area (EEA).

We are committed to protecting the security of your personal information and use a number of measures to protect it. This includes, but is not limited to: regular employee education; data protection and information security policies; firewalls; self-service password recovery; access rights management; and encryption to protect data in transit protected using HTTPS which is required for all users.

Changes to this Privacy Policy

We may change the Privacy Policy from time to time.  The latest Privacy Policy will be posted on the website so please review the latest version.

Cookies

The Platform uses “cookies” to help you personalise your online experience. A cookie is a text file that is placed by us or our remarketing partners on your hard drive by a web page server. Our cookies do not run programs or deliver viruses to your computer.
